This Privacy Policy explains how ElectroDash (“ElectroDash”, “we”, “us”, or “our”) collects, uses, shares, and protects information when you use the DashCrew service, an AI-powered content and chat tool (the “Service”).

By using the Service, you agree to the collection, use, and sharing of information as described in this Privacy Policy. If you do not agree, please do not use the Service.

1. Information We Collect

We collect the following categories of information when you use the Service:

1.1 Information You Provide

  • Account Information: Name, email address, username, password, and any other information you provide when creating or managing your account.
  • Inputs (Prompts): Any text, instructions, questions, data, files, or other content you submit to the Service.
  • Outputs (AI-Generated Responses): The content generated by the Service in response to your Inputs.
  • Communications: Messages, feedback, support requests, or other communications you send to us.
  • Payment Information: If you purchase a paid plan or subscription, payment information such as credit card details or billing address (processed by third-party payment processors; we do not directly store complete payment card numbers).

1.2 Information Collected Automatically

When you use the Service, we and our service providers automatically collect:

  • Usage Data: Information about how you interact with the Service, including features used, actions taken, dates and times of access, session duration, frequency of use, and interaction history.
  • Device and Technical Data: IP address, browser type and version, operating system, device type and identifiers, screen resolution, language preferences, and referring/exit pages.
  • Log Data: System logs, error logs, performance data, crash reports, and diagnostic information.
  • Cookies and Similar Technologies: We may use cookies, web beacons, local storage, and similar tracking technologies to collect information about your activity on the Service and to enhance functionality and user experience.

2. How We Use Information

We use the information we collect for the following purposes:

2.1 To Provide and Operate the Service

  • Authenticate you and maintain your account.
  • Process your Inputs and generate Outputs.
  • Deliver requested features and functionality.
  • Operate, maintain, and secure the Service and its infrastructure.

2.2 To Improve and Develop the Service

  • Analyze usage patterns and user behavior to improve performance, reliability, and user experience.
  • Evaluate, refine, and train AI models and algorithms.
  • Develop new features, tools, services, and integrations.
  • Conduct research, analytics, and testing.

2.3 To Maintain Safety, Security, and Prevent Abuse

  • Monitor for and detect fraud, abuse, security threats, policy violations, and other harmful or unlawful activity.
  • Investigate and respond to security incidents, bugs, and vulnerabilities.
  • Enforce our Terms of Service, policies, and agreements.
  • Protect the rights, property, and safety of ElectroDash, our users, and the public.

2.4 To Communicate With You

  • Respond to your inquiries, support requests, and feedback.
  • Send service-related announcements, notifications, and administrative messages (such as account alerts, security notices, or billing information).
  • Provide information about updates, new features, or changes to our Terms or policies.
  • Send marketing and promotional communications where you have consented or where permitted by law (you may opt out at any time).

2.5 To Comply With Legal Obligations

  • Respond to legal process, court orders, subpoenas, or lawful requests from law enforcement, government agencies, or regulators.
  • Comply with applicable laws, regulations, and legal requirements.
  • Enforce our legal rights and defend against legal claims.

3. Chat Logs and Human Review

3.1 Chat Logs

When you use the Service, your Inputs, Outputs, and associated interaction history (collectively, “chat logs”) are stored by ElectroDash and our service providers.

3.2 Human Review and Quality Assurance

To maintain and improve the quality, safety, and reliability of the Service, authorized ElectroDash personnel and, in some cases, personnel from our service providers (such as TypingMind) may access and review chat logs for purposes such as:

  • Quality assurance, model evaluation, and performance monitoring
  • Debugging, troubleshooting, technical support, and error resolution
  • Safety monitoring and content moderation
  • Detection and prevention of fraud, abuse, security threats, and policy violations
  • Training, refining, and improving AI models and algorithms
  • Service improvement, feature development, and research

Access to chat logs is limited to authorized individuals for legitimate business purposes and is subject to confidentiality obligations and internal access controls. We take steps to minimize human review where possible and to protect your privacy, but you should assume that any content you submit to the Service may be reviewed by personnel.

3.3 Your Choices Regarding Chat Logs

Depending on your account type and Service configuration, you may have options to:

  • Delete specific conversations or chat logs from your account interface.
  • Request deletion of your data by contacting us (subject to exceptions described in Section 6 below).

Please note that even if you delete data from the user interface, we may retain copies in backups, audit logs, or archives for a limited period as necessary for security, legal, or operational reasons.

4. How We Share Information

We may share your information in the following circumstances:

4.1 Service Providers and Subprocessors

We share information with third-party service providers and subprocessors who perform services on our behalf and who are contractually obligated to protect your information and use it only for the purposes we specify. These providers include:

  • TypingMind (Devuap LLC): Provides the chat interface platform and orchestration layer. TypingMind processes Inputs, Outputs, account data, and usage information.
  • Cloud Hosting and Infrastructure Providers: Including DigitalOcean, Render.com, and others who provide servers, databases, content delivery, and related infrastructure.
  • AI Model API Providers: Including OpenAI, Anthropic, Google, and potentially others whose models power content generation. Your Inputs and related data are sent to these providers to generate Outputs.
  • Authentication and Security Services: Including GitHub, DigitalOcean, and others that provide identity verification, credential management, and security monitoring.
  • Knowledge Base and Search Providers: Including LlamaCloud (LlamaIndex) and others that provide vector database, document retrieval, and knowledge base functionality.
  • Document and Storage Services: Including Google Docs and similar services used for operational content, training data, and internal processes.
  • Payment Processors: Third-party payment and billing services (if applicable).
  • Analytics and Monitoring Tools: Services that help us analyze usage, monitor performance, and improve the Service.

A current list of our subprocessors, including their names, purposes, and locations, is available upon request. We will update this list when we add or change subprocessors.

4.2 Business Transfers

In connection with any merger, acquisition, financing, sale of assets, bankruptcy, or other business transaction or negotiation, we may transfer, sell, or assign your information to a successor or affiliate. In such cases, we will require the recipient to honor this Privacy Policy or provide you with notice and choice.

4.3 Legal and Safety Reasons

We may disclose your information if we believe in good faith that such disclosure is necessary to:

  • Comply with applicable laws, regulations, legal processes, or enforceable governmental requests (such as subpoenas, court orders, or warrants).

4.5 Aggregated or De-Identified Data

We may share aggregated, de-identified, or anonymized information that does not reasonably identify you or any individual. For example, we may share statistics about Service usage, AI model performance, or general trends.

4.6 No Sale of Personal Information

We do not sell your personal information for monetary consideration. Under some state privacy laws (such as California’s CCPA/CPRA), “sale” or “sharing” may be defined more broadly to include certain data sharing practices for advertising or analytics. If such definitions apply and we engage in such practices in the future, we will provide appropriate notice and opt-out mechanisms as required by law.

5. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law. Retention periods depend on the type of data, the nature of our relationship with you, and our business and legal needs. Factors we consider include:

  • How long you maintain an active account
  • Whether you have deleted data or requested deletion
  • Legal, regulatory, tax, or accounting requirements
  • Security, fraud prevention, and abuse detection needs

You may opt out of receiving promotional or marketing emails by following the unsubscribe instructions in those emails or by contacting us. You cannot opt out of service-related or transactional messages.

6.7 Do Not Track

Our Service does not currently respond to “Do Not Track” browser signals, but you may be able to disable certain tracking through your browser settings or third-party tools.

7. Security

We implement reasonable technical, administrative, and physical security measures designed to protect your information from unauthorized access, use, disclosure, alteration, or destruction. These measures include encryption, access controls, secure authentication, monitoring, and regular security assessments.

However, no system is completely secure, and we cannot guarantee the absolute security of your information. You are responsible for maintaining the confidentiality of your account credentials and for promptly notifying us of any suspected unauthorized access or security breach.

8. Children’s Privacy

The Service is not intended for and may not be used by individuals under the age of 18 (or the applicable age of majority in your jurisdiction). We do not knowingly collect personal information from children. If we learn that we have collected personal information from a child without proper parental consent as required by law, we will take steps to delete that information as soon as reasonably practicable.

ElectroDash is based in the United States, and the Service and our subprocessors operate in various locations around the world. By using the Service, you acknowledge and consent to the transfer and processing of your information in the United States and other jurisdictions as described in this Privacy Policy.

If you are located in the European Economic Area, United Kingdom, Switzerland, or another jurisdiction with data transfer restrictions, we take steps to ensure that appropriate safeguards are in place for international transfers, such as standard contractual clauses or other legally recognized transfer mechanisms.
